Process invoices in the WorkQueue window

If no changes are to be made to the invoices, you can easily work with them directly in the WorkQueue window without opening them.


Start by clicking on the queue to be displayed. To filter/sort the list to show the desired invoices, click the button   on the right side of the window.

Select an invoice in the list and its information and image will be displayed under the invoice list.


Invoice image

At the bottom left of the invoice list, the current invoice image is displayed.

If you want to see a larger invoice image, click on the right-hand side of the invoice list and the window will change so that the image is shown on the left and the invoice list becomes narrower.

Invoice information

In the menu, on the right side of the window, there are several menu items used to select what information to display about each invoice. 


Click on one or more of the options and these will appear under the invoice list. To remove any of the options, click on the icon again. The selected settings will be preselected the next time you log in.


The options are:

  • History: This shows who has handled the invoice before and which steps have been passed.
  • Previous invoices: Shows previous invoices from the same vendor. 
  • Other: Here you can see the verification number and dates.
  • Coding: The invoice's coding rows. No changes can be made to the coding rows in this mode. To do so, you need to open the invoice by clicking on the blue invoice number in the list.
 

Messages

Click on in the menu to the right to open the messages panel. The number in blue shows the number of messages available. Read more about sending messages in the article Messages.


Send invoices

To send one or more invoices simultaneously, check the checkbox on the left side of the invoice list. This will activate buttons in the center of the page, below the invoice list, with a number of options for forwarding the invoice:

  • Approve: This button sends the invoice to the next step. From New Invoice Review, the invoice is sent to the specified reference (if there is one on the invoice) for review. If you are the reviewer, the invoice is sent to the approval user if this is preselected and if you are the approval user, the invoice is sent for payment. If the system thinks that something is unclear, a message will be displayed.
  • Exceptions Review: The invoice is sent to Invoice Exceptions Review after the message is written on the form that appears.
  • Not mine: If the invoice has been sent to several recipients and it should not be processed by you, click on this button and the invoice will disappear from your personal work queue but remain for processing by the other recipients. This option is only active if the invoice is with several recipients at the same time.
