Approval rules

The basic rules governing the right to approve invoices in the invoice application are administered under the administration tool's main menu Approval rules and its underlying menu Approval rules.

The function is based on the fact that a coding dimension is determined to be the main control for the right to approve invoices in the system (eg cost center, department). Configuration of which dimension is the approval object takes place under the System Configuration - Coding String menu. Only ONE dimension shall be chosen as the approval object according to the ordinary approval regulations in this function.

The following example is based on the fact that the coding dimension Account is used alone to control the approval rights on the vendor invoices.


View approval objects

The established coding dimensions governing the right to approve invoices are shown in the top drop list. Select the dimension and click View (in the examples below, account has been selected).

All accounts are shown in the list.

The list can then be filtered by value or description using the boxes above each column.

The list also shows the values with wildcards created on the approval rights tab of the role form. Read more about this in the article Roles and approval rights.


View approval users for a given account

Select an account in the list and then click on the View button to view the roles that have approval rights on the current account. The roles that have approval rights on the account are shown in the list Roles with approval rights for selected object.

The list can then be filtered using the boxes above each column.


View users belonging to each role

To see which users belong to the roles that have approval rights on the account, select a role and users who belong to the role are displayed directly in the list Users belonging to selected role.

The list can then be filtered using the boxes above each column.


Add a new role with approval rights on an account

To add a new role with approval rights to one or more accounts, select the value/values in the list and select the Add button.

In the form shown:

  1. Select the role that should have approval rights to the selected values in the Selectable roles list.
  2. Select approval amount
  3. Add the role to the Selected Roles list by clicking the > button.

The lists can be filtered using the boxes above each column.


Remove approval role from an account

To remove an existing role with approval rights in an account, select the value in the list and select the Delete button. To delete a user on multiple values at once, multiple accounts can be selected in the list.

In the form shown:

  1. Select the roles that should remain in the current accounts in the Selected roles list.
  2. Move these to the Selectable roles list by clicking the < button. Thus, in the box for Selected Roles, the roles to be removed should lie.
  3. Click Save and the role(s) will be removed from all selected values.
