FAQ on Capture

What does it cost to switch to Capture?

Capture is included in your current contract, you can use it both as a complement to Scancloud but also as the sole interpretation service.


How do I inform my vendors about the switch?

If you “own” your invoice address and have your own “[email protected]” address, the vendors do not need to be informed, but you only change the underlying rule in the mailbox to point to your Capture address instead. 

If the suppliers send the invoices directly to Scancloud today, we recommend that you set up your own address (like [email protected]) and set the rule in it that the invoices should be forwarded to Capture automatically. Then start notifying vendors on an ongoing basis - if the entire organization helps to communicate the new address when contacting / ordering, etc. it usually facilitates the transition.


Do you provide a letter template that I can use to send out to my suppliers?

We use Techworx as a partner for any mailings, read more on their website.


Do I need a cut-off date?

We recommend that you set a date when you send out the supplier letter and communicate it as a “latest” date there. If you don't send out a supplier letter, you can change the date gradually.


What happens if my suppliers continue to send to the old address?

The invoices will be interpreted by Scancloud and sent into the environment just as before.


How can I see if the invoice comes via Scancloud or Capture?

When the invoice comes via Scancloud, it has an information text vertically along the left side of the invoice image. 

The string contains information about the BatchID, who submitted the invoice, when it arrived, etc. Capture does not do that - so if an invoice has that information text on the left edge, it comes via Scancloud.


How are EDI invoices handled?

Here you can choose whether you want to take your EDI invoices via Capture or if you want to get them directly into the flow as before.

Notify us via [email protected] if you wish to receive the invoices via Capture instead of interpreted and ready directly into the flow. The advantage of taking the invoices via Capture is the ability to “map in” just the field you want interpreted in, for example, reference for each unique supplier.


Where can I find my addresses?

In the Capture Verification queue, click on “Capture email addresses” - the addresses that are linked to each company are presented there. If you are missing an address there, please contact [email protected] and we will add it.
