Step 1: Find your address
To see which email address(es) are linked to your company, go to the Capture Verification queue and click on ‘Email addresses in Capture’.

Next to the company name, you will find the email address linked to that company:

Step 2: Test
By clicking “Copy”
at the end of the email address, you can easily copy it and send a first test invoice to the company.
As soon as the invoice is in the Capture Verification queue, you’re all set!
Step 3: Notify vendors of the change
If you “own” your billing address and have your own “Invoice@company.com” address, there is no need to notify vendors; you simply need to change the underlying rule in the mailbox to point to your Capture address instead.
If vendors currently send invoices directly to external interpretor, we recommend that you set up your own address (such as Invoice@company.com) and configure a rule so that invoices are automatically forwarded to Capture. Then start notifying vendors on an ongoing basis—if the entire organization works together to communicate the new address during contact/orders, etc., it usually makes the transition easier.
Step 4: Redirect invoices
We recommend that you set a specific date in conjunction with the vendor letter mailing and communicate it as a “deadline” in that letter. If no vendor letter is sent out, you can redirect invoices gradually.
Question and answers
- How much does it cost to switch to Capture?
Capture is included in your current contract; you can use it both as a complement to an external interpretor and as your sole interpretation service. - Do you provide a letter template I can use to send to my vendors?
We use Techworx as a partner for any mailings; read more on their website. - What happens if my vendors continue to send invoices to the old address?
Those invoices will be interpreted and sent into the system just as before. - How can I tell if the invoice is coming through Scancloud or Capture?
When the invoice comes through Scancloud, it has an information text running vertically along the left side of the invoice screen. The string contains information about the BatchID, who submitted the invoice, when it arrived, etc. Capture does not add that code string—so if an invoice has that information text on the left edge, it is coming through Scancloud. - How are EDI invoices handled?
Here you can choose whether you want to receive your EDI invoices via Capture or have them fed directly into the workflow as before.
Please contact us at support-go@medius.com if you prefer to receive invoices via Capture rather than having them interpreted and sent directly into the workflow. - Where can I learn more about Capture?
