Setup of taxes and fees

General

In the invoice application, there is a function to automatically create one or more coding rows for each cost coding, these rows can for example indicate different percentages of VAT or different taxes and fees based on the cost coding. With a combination of Tax codes and calculators on the coding row, the system creates new rows based on the coding templates you have specified.

It varies between different financial systems how and if these have their own built-in functionality for handling taxes and fees, always consult with the financial system consultant before setting up in the invoice application according to below to prevent problems from occurring with e.g. double booking of taxes and fees in the accounts!

Setup

To use this function, the UseTAFRows parameter under System configuration - System settings - Functions must be activated.


System Configuration - Taxes and Fees - Columns

Here you create the columns that should be on the coding rows to enter indicators and to show which calculator has been used. It is possible to have up to three indicators and a calculator in the same row, if the indicators have different calculators connected to each other, the combination of codes will form a filter to determine which calculator to use.


In the example below, we have created 2 dimensions on the coding row, one for the indicator and one to show which calculator was used:

Here you create the various indicators and calculators to be used in the system. Indicators are what you enter on the coding rows and the calculator is what creates the calculation.


Create indicator

  1. Click the New button at the top of the page
  2. Enter Name, Description, External name and select the dimension to which the indicator should belong
  3. Click Save

Create calculator

  1. Click the New button at the top of the page
  2. Enter Name, Description, External name and select the dimension to which the calculator should belong
  3. Select or create the coding template to use. For ordinary tax in different %-rates, the same template with 100% deductible tax can be used on all calculators and it is the value in the field Percent that determines how large a part is to be calculated.
  4. Choose whether the invoice's tax percentage is to be used or whether you want to enter your own percentage. If the calculator is to be used to calculate e.g. 12% Tax, enter 12 in the Percent field.
  5. Click Save

Here you put together which codes are to be used for which calculator so that the correct calculation is made on the rows that are created.


Usage in the invoice application

When you code an invoice in the invoice application, you enter, in addition to the account and other dimensions, an indicator in the Tax field. Fill in the correct amount and use enter or tab and rows are automatically created based on the coding template and the percentage that the Calculator should use.


If you change the amount on the main row, the Calculator will recalculate the amounts on the automatically generated rows.
