View attachments
If there are appendices to an invoice, you can see them above the invoice image in the Workflow and Invoice windows. If there is more than one page, you can view the appendices by clicking > or >>.
Add appendix
All users can add appendices as well as modify and delete appendices added by the user. To modify and delete appendices added by other users, special permissions are required, read more about this in the article Manage appendices.
To add a document as an appendix to an invoice, or to look at existing appendices, open the invoice and click in the upper part of the window. The number of attachments, of the type Appendix, that belongs to the invoice is shown on the button .
A form opens that shows which attachments may already be linked to the invoice. Click on a row and the image will appear in the right part of the window.
Add appendix
To add a new appendix, click the +Add button and the following form will open:
File name
Select Browse... to open a dialog to select documents to add to the invoice.
These file formats can be added as an attachment:
- bmp
- docx, doc
- gif
- html, htm
- jpeg, jpg
- png
- rtf
- tif
- txt
- xlsx, xls
- xml
Document type
There are two types of documents to choose from. Appendix are used for internal appendices such as receipts or notes. Invoice are used for attachments that belong to the invoice itself, such as invoice specifications. The appendices registered with the document type Invoice will be included in a possible supplier letter. The document type Supplier letter is automatically set to the letters generated via the supplier letter function in the invoice window.
Change the document type
To change the document type of an appendix, select it in the list and click Edit. It is only possible to modify appendices added by the user. To modify other appendices, separate permissions are required, see the article Manage appendices.
Remove appendix
Deletion of appendices is done via the Delete button, please note that normally a user can only delete the appendices that the user himself has added to the invoice. If other attachments are to be removed, separate permission is required for this. Close the attachment form with the Close button.
