Approval rights - Role form

This article describes how to add approval rights to existing roles. If you need to create a new role first, see the article Create new role for instructions.


The role form contains all the rights in the system, broken down by company, in a number of tabs at the bottom of the form. For a detailed description of how to find the tabs, see the article View/Edit/Delete roles.


To change/add approval rights, use the tab Approval rights and to activate the tab, first click on the company you want to make changes to.


Each role must have three items specified for a user to be able to approve.



  1. Maximum approval amount per invoice
    This amount is the maximum total amount that a user is allowed to approve on a single invoice. The amounts of all the coding rows approved by the user are added together and may not exceed this amount. Note that this applies to the approved amount on an invoice, not the invoice amount. In the case of Hierarchy, this should always be unlimited.
  2. General approval amount
    This refers to how much the user may approve per coding value. I.e. if this amount is 1,000€, it means that the user may authorize up to 1,000 on account1 and 1,000 on account2.
  3. Approval rights per code part
    Select a dimension in the drop-down list, the one that is selectable is the dimension you set in the coding string as an approval object. The two boxes show the approval values that exist in the system. In the left one, those that are selectable and in the right one, those that the role is authorized to approve.

    To select values, select them in the left list, to select several, use ctrl/shift, and click on the right arrow.

    To remove values the role should not be able to approve on, select these in the right list and move them to the left


    It is possible to set different amount limits on different values, but to make your approval rules easier to maintain, we recommend that you always mark General amount when moving values from the left list to the right. This refers to the General amount you previously entered in point 2 above.


    If, instead of entering specific values, you want to use %, type this in the Value box and click on the right arrow. % refers to all values and, for example, 3% refers to all values starting with 3. Read more about this in Approval rights - Basics
